Privacy & recording policy

Booking requests collect your name, email address, phone number, the service you selected, your requested date and time, and anything you type into the notes field.

During care we also create clinical records: intake history, assessment findings, treatment notes and progress measures. For simulator sessions we capture multi-angle swing video and launch-monitor data (club and ball metrics).

Our website does not run advertising trackers and we do not sell any information about you.

Other visitors to the booking page never see your details. The public calendar only shows anonymous busy blocks — start and end times with no name, service or contact information attached.

Your booking details and clinical records are visible only to Next Tee Physical Therapy staff involved in your care, through an authenticated admin account. Database access rules block everyone else, including anonymous website visitors.

Our email provider processes booking confirmation and cancellation messages, and our hosting and database providers store the underlying records. They act on our instructions and cannot use your information for their own purposes.

Recording is optional. You choose it when booking Swing Training and must check a consent box before your request is submitted. You can decline recording, or ask us to stop recording mid-session, and still receive the full session.

Footage is reviewed by your therapist and processed by our AI swing-analysis tool to generate the feedback you receive. The AI output is a coaching aid — clinical decisions are always made by your therapist.

Your footage is never sold, never used in advertising, and never posted to social media or a website without separate written permission from you.

Simulator video and swing data: retained up to 12 months so we can compare progress between visits, then deleted. If you ask us to delete it sooner, we will.

Clinical records and treatment notes: retained as required by New Mexico record-retention law for licensed physical therapy practices, typically a minimum of six years after your last visit.

Booking requests that never become appointments (cancelled or declined): retained up to 12 months for scheduling history, then removed.

Recordings live in a password-protected, access-controlled account tied to the simulator and clinic software, not on shared or public drives.

The admin dashboard that exposes client contact details requires an authenticated staff account with an explicit admin role. Role checks run on the server, so they cannot be bypassed from a browser.

Data is encrypted in transit (HTTPS) and at rest by our hosting provider. Staff devices used for review are password-protected.

Email nextteept@gmail.com or call (575) 430-6782 with your name and the approximate session date. Ask for a copy of your footage, a copy of your records, correction of anything inaccurate, or permanent deletion of your footage.

We confirm receipt within two business days and complete footage deletion requests within 30 days. We will tell you if any part of a request has to be denied — for example, clinical documentation we are legally required to keep.

Withdrawing recording consent takes effect immediately for future sessions and does not affect your ability to be seen.
